Out of School Care

Kelburn Out of School Care is governed by the Kelburn Out of School Care Trust (KOSCT) and is managed by a committee of volunteer user parents. The Manager and Staff are employed by the Trust to provide a safe, stimulating, caring and comfortable environment for the children, taking into account each child’s individual needs. Whilst our programme is not formally structured we do try to include one planned activity each session. Art/Craft materials, games for different ages and sports equipment are all available. The children have use of the top school playground, including the gully. All activities are well supervised whether indoor or outdoor, and a space is available for those children wishing to do homework or simply have time out.

The parents on the management committee are full-time workers or students themselves; therefore it is essential that all user parents play their part in ensuring support for the group as a whole. The following gives information about the organisation of the Out of School Care group and details areas of responsibility.

Attendance
Children may come to Kelburn Out of School Care on a regular or casual basis, subject to places being available.

Regulars: Regular attendees designate the days of the week they will be attending and will be expected at KOSCT on those days unless staff have been notified in advance by a parent/caregiver. A regular is considered as a child who is enrolled for at least one day every two weeks.

Casuals: Casuals are children who do not hold pre-paid sessions and attend rarely. Attendance of casuals should be requested 24 hours in advance if possible, and payment must be made on the day of attendance.

Kelburn Out of School Care provides a safe and affordable service for parents and children, ensuring that all children expected to attend will be accounted for. The manager will check each day that all those children whose attendance has been advised to KOSCT are present. In the event that any of those children do not arrive at KOSCT as expected, the Manager will follow up with parents/caregivers to ascertain the child’s whereabouts. Non-attendance will be charged at the normal daily rate. Notification must be made 6 hours before 3pm on the day of non-attendance, a message on the After School answer phone will be sufficient.

Parents should note that KOSCT cannot take any responsibility for their child/ren’s arrival at KOSCT if their attendance has not been previously notified to staff.

OSCAR Subsidy
Kelburn Out of School Care is Child Youth and Family Approved. If you are in training, at University or earn up to $70,000 per year, you may be eligible for the OSCAR subsidy. It is paid to the Out of School Care and reduces the fees you pay for your child. Please ask the Manager and contact WINZ, Work and Income New Zealand, for more information.
 

Enrolment
• Initial contact to join the group should be made through the Manager
• Actual enrolment should be made with the Manager during programme hours
• You are welcome to visit Out of School Care at any time with your child/ren
• An enrolment form must be completed for each child, including Casuals.

Information
Staff/Child Ratio: This is currently on average 1:10

Child Age Range: 5-12 years

Place: The Cottage, 2 Boundary Road, Kelburn.

Fees: Parents pay fees in advance for a set number of sessions. Each day your child attends Out of School Care a day is deducted from the current balance. Fees for regulars should always be paid in advance. It Is preferable that all payments be made by automatic payment. We operate on a non-profit basis so it is important that the fees are kept up to date. All prices include GST:
• 1 child family- $14.00 per session
• 2 or more children in family – $13.50 per session per child

Afternoon Tea: A variety of foods are available, including sandwiches, fruit, popcorn, biscuits...
Discipline: There is a written policy available which the Manager discusses with the children in a co-operative and positive environment.

Communication: Kelburn Out of School Care has developed a communication/complaints policy and procedure. Copies of this are available from Out of School Care or a management committee member

Parent/Caregiver Responsibilities
• Collection of children before 6pm. A late fee of $20 will apply when children are picked up between 6.00pm and 6.15pm. An additional $20 will be charged for a pick up between 6.15pm and 6.30pm.
• Inform Out of School Care if your child/ren are not coming to Out School Care at least 6 hours prior to the day the child/ren are booked in or contact us if your child/ren are being collected by someone else
• For Casuals or extra sessions, inform Out of School Care the day
before attendance
• Ensure a staff member is informed when you collect your child and sign the sign out sheet
• Ensure your children know where they are to be each day after school
• Ensure that you always have your fees up to date and that your contact numbers are current
• Attend any meetings arranged by the committee if possible
• Check the notice board regularly. Information/requests will be
posted there

Out of school care responsibilities
• Juniors will be collected from the Junior School at 3pm each day by a staff member
• Out of School Care will ascertain the whereabouts of all children whose attendance is expected unless notification has been given to the contrary.
• No children are permitted to leave the school grounds unless previously arranged
• Arrangements can be made for children to attend other after school activities

School Holiday Programme
